Create new records to records time against

Overview

Time that is recorded on the ClockShark Mobile app is applied to a relevant customer job and task. Time can be recorded against existing records or you can create new customers, jobs and tasks in the ClockShark Mobile app. Creating these records allows you to capture important information such as address, contact information, notes and more. The ClockShark Mobile app gives you the option to create these customers, jobs and tasks throughout the app so that you can record important information without breaking up your workflow. 

NOTE: This article relates to the 2024 version of the ClockShark Mobile app, listed as ClockShark Time Tracking on Google Play and the App Store. When you download the app, ensure you are downloading ClockShark Time Tracking, not the legacy version, which is listed under ClockShark Mobile Time Clock. Create a Job

A job represents specific work performed for a customer. Within a job there might be multiple tasks to complete. A job can be used once to record time, or reused if a field user performs work on the job on multiple occasions. When recording time, field users can select from any existing jobs created in ClockShark, or create a new job. 


Creating a job can be done from the following locations on the ClockShark Mobile app:

  • From the Home page tap Clock On > + New Job.
  • From the Home page tap Switch > + New Job.
  • From the Timesheet page tap > Regular Time, select JOB and tap + New Job.
  • From the Work page tap Jobs > + New Job.

To create a job:

  1. Tap to select a customer or tap + New Customer to create one from scratch.
  2. Enter a Job Name so that you can identify and search for the job later. 
    1. This field is mandatory.
  3. Enter an Address including the City, State and Zip code.
  4. Write a Summary of the work that needs to be completed and provided other details as required.
  5. Tap Save.

Create a Customer

New customers can be recorded as businesses or individuals. Creating a customer can be performed from anywhere a new job can be created, when the customer is selected. Additionally, a new customer can be created from Work > Customers > +New Customer.

To create a new customer:

  1. Select Individual Customer if the work is being completed for a single residential individual, or select Business Customer if the work is being completed for a company. 
  2. For a Individual Customer enter the following information:
    • First Name
    • Last Name
    • Address including City, State and Zip code.
    • Phone number and select whether the Type is Work, Mobile, Home, Fax or Other.
    • Email
    • Notes.
  3. For a Business Customer enter the following information:
    • First Name of the Primary Contact
    • Last Name of the Primary Contact
    • Phone number of the Primary Contact and select whether the Type is Work, Mobile, Home, Fax or Other
    • Email of the Primary Contact
    • Company Name
    • Company Address including CityState and Zip code
    • Phone number of the company
    • Notes.
  4. Tap Save.

Create a Task

A task represents specific work performed within a job. A job might have a single task or multiple tasks to complete. Tasks are typically a set list of work that your company completed for a range of customers and can be reused across multiple jobs. When recording time, field users can select from any existing task created in ClockShark, or create a new task.

Creating a task can be performed from anywhere a new or existing job is selected such as when you’re clocking on or switching tasks. Additionally, a new task can be created from Work > Tasks > +New Tasks.

To create a new task:

  1. Enter a Name to describe the task.
  2. Enter a Task Code for your internal records.
  3. Tap Save.
