How to Use Access Controls

Access and Task Controls are Pro Plan features. You must have a Pro subscription in order to use them.

You can control which employees can see specific jobs and tasks, and which tasks are available for your jobs. This is useful if your jobs or tasks include sensitive information that shouldn’t be widely shared.

Use access controls for jobs

To limit which employees can clock into a specific job:

1. Create a new job or edit an existing one.
2. Go to Settings under the Actions menu.
3. Select the Restrict Employee Access check box.
4. Under Access Control, select Allow Everyone, Allow only specific Employees or Allow Everyone Except specific employees.
5. Under Employees, select specific employees to either allow them access or forbid their access.
6. Click Save.

Access controls do not affect administrators. Administrators can manually add and edit time for all jobs and tasks, and do not need to be allowed access.

Use access controls for tasks

To limit which employees can access a specific task:

1. Create a task or edit an existing one.
2. Under Access Control, select Allow Everyone, Allow only specific Employees or Allow Everyone Except specific employees.
3. Under Employees, select specific employees to either allow them access or forbid their access.
4. Click Save.

Restrict tasks for jobs

To specify which tasks are available for a specific job:

1. Create a new job or edit an existing one.
2. Go to Settings under the Actions menu.
3. Select the Restrict Task check box.
4. Select Allow All Tasks, Allow Only specific Tasks, or Allow Any Except certain tasks.
5. Under Tasks, select specific tasks to either make them available or restrict them.
6. Click Save.

Employees will only see jobs and tasks that have been made available, helping them select the correct jobs and tasks.
