Record time in the ClockShark Mobile app 2024

Clock in and clock out and record breaks

Overview

Clock in to record time against jobs and tasks on the ClockShark Mobile app. While tracking time, you can add notes and attachments, access the relevant job, get directions, and add comments. Pause time to record breaks or switch to other jobs are required throughout the day. At the end of the day, finish recording time by clocking out. 

NOTE: This article relates to the 2024 version of the ClockShark Mobile app, listed as ClockShark Time Tracking on Google Play and the App Store. When you download the app, ensure you are downloading ClockShark Time Tracking, not the legacy version, which is listed under ClockShark Mobile Time Clock. Record Time

Clocking in starts recording time against a specific job and task. Throughout the day you can pause time and take a break, or switch to another job.

To clock in:

  1. Tap  Clock In. 
  2. Select a Job to start recording time against or tap + New Job. Jobs that have been used in the past 2 weeks, are displayed in the Recently Used section at the top. Learn more in Create Customers, Tasks and Jobs.
  3. Select a Task to record which type of work is being completed. Alternatively, if the type of task has not already been created tap + New Task. Tasks that have been used in the past 2 weeks, are displayed in the Recently Used section at the top. Learn more in Create Customers, Tasks and Jobs.
  4. Confirm the JOB and TASK are correct and tap Complete Clock In.
  5. Once you’ve clocked in, the home page displays TODAY’S TOTAL time which is rounded based on your company’s settings. A timer indicates the actual time that you are On the Clock.

Record Break

To pause recording time and take a break:

  1. After clocking in tap Start Break Icon Start Break.
  2. Tap Start Break again, to confirm. There is also an X to dismiss, in case Start Break was tapped accidentally. 
  3. While on a break the timer indicates On Break and the time is not added to TODAY’S TOTAL
  4. When you are ready to start recording time again, tap End Break and tap End Break again to confirm. The timer resumes recording time from the point you went on break and displays On the Clock again.

Throughout the day you can switch between jobs and tasks to record time against different types of work for different customers.

Enforce 30min Break Duration

If your company requires a full 30-minute break before work can resume, the Enforce 30 Minute Break Duration setting ensures this.


When enabled in Company Settings > Timesheets > Time Options, employees will be restricted from ending their break early. The app will not allow clocking back in until the full 30-minute timer has passed.

Switch between jobs and tasks

To switch between a job or task:

  1. After clocking in, tap Switch Icon Switch.
    Note that you can also switch jobs or tasks from the job details page.
  2. Select a Job to start recording time against. Jobs that have been used in the past two weeks are displayed in the Recently Used section at the top. You can tap the same job you’re already recording time against if you only want to switch tasks. Alternatively, tap + New Job. Learn more about how to Create Customers, Tasks and Jobs.
  3. Select a Task to record which type of work is being completed.  Tasks that have been used in the past two weeks are displayed in the Recently Used section at the top. Alternatively, if the type of task has not already been created tab + New Task. Learn more about how to Create Customers, Tasks and Jobs.

Confirm the JOB and TASK are correct and tap Complete Switch.

To clock out:

  1. After clocking in, tap clock-out Clock Out.
  2. Tap Clock Out again, to confirm. There is also an X to dismiss, in case Clock Out was tapped accidentally. 
  3. The timer will no longer be visible, any recorded time will be displayed under TODAY’S TOTAL

After clocking out, you have the option to Clock In again. If you clock in again on the same day TODAY’S TOTAL is reset on the ClockShark Mobile app, but the previously recorded time is still available on the ClockShark website. 

Manage Jobs

Once you’ve clocked in, you can manage a job by adding notes, attachments, edit job details, get directions, view customer details and leave comments.

To add notes:

  1. After clocking in, next to NOTES tap Add
  2. Enter your notes and tap Save.
  3. Any previously entered notes are displayed under the NOTES section on the Home page.

To add attachments such as photos or other files:

  1. After clocking in, next to ATTACHMENTS tap Add.
    1. Tap to Take Picture, take the photo using your device’s camera and click OK
      1. You will need to Allow ClockShark to take pictures and record video.
    2. Tap Open Gallery, tap one or more images from your phone’s album and then tap Add to upload images from your mobile device.
      1. You will need to Allow ClockShark access to your photo gallery.
    3. Tap Add Files, navigate your files and tap a file to upload other types of media such as documents and audio.
  2. Once an attachment has been uploaded a preview of the first three images and other files will display under the ATTACHMENTS section on the Home screen. 
  3. Under ATTACHMENTS tap Edit to add more attachments. Alternatively tap an existing attachment and tap Delete to remove any attachments that are no longer required.  

Accessing a job in the ClockShark Mobile app gives you the option to update job details, get directions, update customer details, contact the customer, see other jobs for the same customer, add more jobs to the customer and add and edit customer notes.

To edit Job Details:

  1. After clocking on, under the JOB section tap on the job.
  2. Next to Job Details tap edit-icon.
  3. If you are not clocked in, you can clock on by tapping Clock In.
  4. If you are clocked in, you can tap Switch to switch jobs or tasks.
  5. Update the job details as though you are creating a new job and tap Save. Learn more in Create Customers, Tasks and Jobs.

To get directions:

  1. After clocking on, under the JOB section tap on the job.
  2. Tap Directions.
  3. Select which maps application to open the location in. 
  4. The maps application will be pre-populated with the location from the customer record.
  5. Tap Directions.

To view, update or contact the customer:

  1. After clocking on, under the JOB section tap on the job.
  2. Tap the Customer.
  3. Next to Customer / Business Details tap edit-icon to edit the customer as though you are creating a new customer and tap Save. Learn more in Create Customers, Tasks and Jobs.
  4. Tap Contact and tap the phone number, website or email address to open the relevant application on your mobile device with the relevant contact details pre-populated. 
  5. Tap Directions and select which maps application to open the location in your mobile device’s maps application with the relevant address pre-populated.
  6. Customer notes can be viewed along with the list of jobs for this customer. Tap on a job to view the Job Details.
  7. Tap Add Job to create a new job for this customer. Learn more in Create Customers, Tasks and Jobs.
  8. Tap Add/Edit Notes to edit the customer record and update the customer notes. Tap Save to record any changes.
  9. Under Primary Contact, the name and phone number of main customer contact is displayed. Tap the phone number to open your phone application on your mobile device with the number pre-populated. 

To add job comments:

  1. After clocking on, under the JOB section tap on the job.
  2. Tap Comments and tap Add Comment
    1. Tap , take a photo and tap OK to add a photo to the comment.
    2. Tap , select one or more images and tap Add to add upload images to the comment.
    3. Tap , select one or more files and tap Add to upload files such as documents to the comment.
  3. Enter your COMMENTS and tap Save

Once a comment has been added, tap  to Edit or Delete a comment or add more comments as required.
